Legal Document Scanning in San Diego County, CA
Paperless Revolution provides legal document scanning throughout San Diego County from our facility in Santa Fe Springs. We work with firms downtown and across North County, and with in-house counsel at the region’s life sciences and manufacturing employers.
Your Vendors Are Already Out of Town
Firms sometimes hesitate at the idea of records leaving the county. It’s worth noticing that most already do. Hosted review platforms run in data centres somewhere else entirely, and a good deal of e-discovery processing for San Diego matters happens in Los Angeles or further afield.
What actually matters is not the mileage but the controls: who handles the documents, whether the handling is recorded, and whether anyone can account for a box at any point in the process. We can answer all three, because the work happens in our own facility with our own staff rather than being passed to whichever subcontractor bid lowest.
What Firms Get
- Bates numbering. Sequential stamping with your prefix and starting number, confirmed before production so ranges don’t collide with an existing set.
- Load files. Delivered to your review platform’s specification, so your e-discovery vendor isn’t reprocessing what you’ve already paid for.
- Document unitization. Proper breaks between documents, so a box becomes discrete records rather than one unusable PDF.
- Objective coding and indexing. Matter, client, date, document type — whatever your system searches on.
- Searchable text, optionally. Add OCR and a term can be located across an entire production in seconds.
Chain of Custody
Every box is logged at pickup and tracked through preparation, capture, quality control, and disposition. Access is controlled and recorded, and we can provide documentation of handling if the integrity of a production is ever questioned. Privileged material is handled under the same procedures we use for HIPAA-regulated records. If a protective order or outside-counsel guidelines impose specific requirements, send them before pickup — we’ll work to them or say plainly that we can’t.
Closed Files and the Storage Bill
Established firms here often carry decades of closed files, and the monthly storage invoice has usually gone unexamined for years because it’s small enough not to trigger a review.
Add it up across a decade and it rarely compares well against a one-time per-box cost — particularly once you account for retrieval fees, the delay when a former client needs their file, and the floor space consumed by whatever didn’t go offsite.
What It Costs
We price by the box, based on a standard page count per box, with Bates numbering, unitization, coding, and OCR quoted according to what the production actually requires. Counting boxes gives you a number you can put in front of a client or a management committee rather than a per-page figure nobody can forecast.
Firms are regularly surprised by the quote. Our overhead is low — one facility, no regional offices, no commissioned sales force — and that shows up in the price rather than in what we leave out. Bates numbering and documented chain of custody are standard, not premium extras.

Frequently Asked Questions
Where does the work physically happen?
In our own facility in Santa Fe Springs, handled by our own trained staff. We don’t subcontract legal work, and we can document the chain of custody for every box.
Can you Bates number to our convention?
Yes. Give us the prefix and starting number and we’ll confirm the range before production begins.
Which review platforms can you deliver load files for?
Tell us the platform and the specification you need and we’ll deliver in that format.
What happens to the paper after production?
Once you’ve verified the output, we securely shred it and issue a certificate of destruction as standard. If you need the originals back, we can return them for a return fee — tell us before we begin.
