Document Scanning Services in San Diego County, CA
Paperless Revolution provides document scanning throughout San Diego County — San Diego, Carlsbad, Chula Vista, Escondido, Oceanside, and the surrounding communities. We work from our own facility at 14944 Shoemaker Ave. in Santa Fe Springs and have been digitizing records across Southern California for more than 16 years.
Industries Where the Records Are the Compliance
San Diego’s economy runs on sectors where documentation isn’t administrative overhead — it’s the evidence that the work was done properly. Life sciences companies keep study and batch documentation because a regulator may ask for it years later. Defense and aerospace suppliers keep quality and traceability records for the same reason. Healthcare organizations keep patient records under statutory retention.
What those industries have in common is that a record which cannot be produced on request is, for practical purposes, a record that does not exist. Boxes in offsite storage satisfy the letter of a retention policy and fail the actual test, which is whether you can put your hands on a specific document when someone asks.
Priced by the Box
We price by the box, based on a standard page count for a box of records — not by the page. Count your boxes and you know your cost before anything moves.
This matters for organizations that have to get spending approved. A per-box figure can go into a budget request or a purchase order. A per-page estimate cannot, because the page count isn’t knowable until the work is finished — which means the number you approved and the number you’re invoiced are two different things.
Our rates come in below the industry averages. We carry less overhead than the national firms — one facility, no regional office network, no commissioned sales force — and that difference goes into your quote rather than into their operating costs.

How the Work Runs
- 1. Free consultation and quote. We come out, count what you have, and give you a written price up front.
- 2. Scheduled pickup. San Diego is a planned run rather than a same-day one, and we’ll be straight with you about the schedule. Every box is logged and tracked from the moment it leaves your building.
- 3. Preparation. Staples, clips, and bindings removed; folds flattened; torn pages repaired.
- 4. Scanning. Captured at 300 DPI or higher. Optical character recognition is available as an option, which makes the finished files fully text-searchable rather than pictures of documents.
- 5. Indexing and quality control. Files indexed to the fields you search by — lot number, project, client, date — then checked for page count, skew, and legibility.
- 6. Delivery and disposition. Digital files delivered on the media or cloud storage you prefer. Originals are then securely shredded with a certificate of destruction, or returned to you for a return fee if you’d rather keep them.
Chain of Custody
Every box is logged at pickup and tracked through preparation, capture, quality control, and disposition. Work is performed by trained staff inside our own secured facility — we do not subcontract scanning. Access is controlled and recorded, and we are HIPAA-compliant. If your organization has specific handling requirements written into a contract or a quality system, tell us before pickup and we will work to them or tell you plainly if we can’t.

Frequently Asked Questions
You’re based in Santa Fe Springs. How does that work for San Diego?
On scheduled runs rather than same-day pickups, and we’ll tell you the realistic timing when you call. For most archive projects the schedule matters far less than the price and the quality, which is where being a lean operation works in your favour.
How is it priced?
Per box, based on a standard page count for a box of records. Index fields and OCR are quoted on top if you want them. Written price before any work begins.
Can you meet our contractual document-handling requirements?
Send them over before the project and we’ll tell you honestly whether we can meet them. We’d rather decline a job than agree to a requirement we can’t actually satisfy.
What happens to the paper?
Once scanning and quality control are complete, we securely shred it and issue a certificate of destruction as standard. If you’d rather have the originals back, we can return them for a return fee — tell us before the project starts.
